Tents come in many different shapes, sizes and styles. There are many things that you should consider before deciding which tent is right for your event. Being prepared for this process can save you time, money and a headache. Start out by gathering all of the information that you can on your own. You will want to know roughly how many guests you are looking to accommodate and what exactly you are looking to put under the tent. You will need to accommodate space for seating tables, food tables, dance floor, stage, etc. Think about where you will be setting up the tent and make sure that you have enough space for the size tent that you need. These are all things that will need to be considered when choosing the right tent for your event.

Once you have gathered this information, you should start looking for tent/event rental companies in your area. You should be able to find at least a few companies in your area online. Start making some phone calls to companies in your area to gather more information. You should be able to find someone that will help you get a better idea of what size tent is right for your event. Make sure you communicate all of your space needs to get a more accurate quote.

When you have a better idea what size tent you need, start shopping around. Do not settle on the first company that you find or the lowest price. You will want to do some research before setting up your rental. Go online and search reviews on Yelp and social networking websites to learn more about each of these companies. You can even stop by each business to view product quality and get a better feeling for their professionalism. This step could save you major headaches. Planning events can be stressful and the last thing that you need is problems with your tent delivery or set up.  Consider other items needed for your event if necessary. Some event rental companies also provide tables, chairs, staging, dance floors etc. Even if tent pricing is more expensive at one company, you may be able to save on delivery cost and set up by using the same company for all of your needs.

Once you have decided which company that you want to use for your event, be sure to discuss in detail the delivery date, time and process. Some companies are flexible with delivery times and dates. If time and space allows, try to have your tent set up a day prior to your event. This will give you enough time to set up and allow time to fix any problems. Some larger tents can take hours to set up and you do not want to be pushing time before your event. You will also need to consider how the tent will be anchored. Some tents require stakes to be placed in the ground whereas other tents can use water barrels if stakes are not an option. This should be discussed prior to your rental.  The delivery and set up process will go much more smoothly if you are able to provide detailed information about your event and the set up location. If you place your order far in advance, be sure to touch base with your rental company a few days to a week before your event to make sure everything is in order.
