Wedding Planner Checklist

If you are looking for help with how to plan a wedding, use this checklist to help you track your planning progress, stay stress-free and watch where the money is going. Plus you can keep all your important contact details in one place.

If you don't have 12 months to plan your wedding, don't panic, just get going! And remember the most important detail: have the time of your lives!!

12 months ahead

  • Think about the style of wedding you want
  • Finalise the wedding date
  • Set your budget
  • Hire a wedding planner if desired
  • Decide on ceremony and reception venue and book
  • Draw up a provisional guest list
  • Choose and contact the people you would like as best man, groomsmen, bridesmaids and flower girl
  • Book a photographer and videographer
  • Choose and book a celebrant or meet with your priest or minister
  • Plan and book your honeymoon
  • Book music/entertainment for ceremony and reception
  • Choose and book a caterer
  • Begin the search for a wedding gown or choose a designer or dressmaker
  • Send save-the-date cards if using
6 months ahead
  • Choose and order invitations
  • Book florist and discuss options
  • Order wedding cake
  • Choose a hire company and reserve furniture/equipment if needed
  • Book your wedding day transport
  • Have an initial hair and make-up consultation
  • Choose and purchase your accessories including shoes, jewellery, stocking, veil, and lingerie
  • Research accommodation options for out-of-town guests
  • Organise your gift registry
  • Discuss details of menu with your caterer
  • Choose party favours for your guests
  • Purchase or reserve groom's attire
  • Purchase or reserve suits for best man and groomsmen, and the bridesmaids' and flower girls' dresses
  • Book a room for the wedding night
  • Look for a jeweller or wedding bands
3 months ahead
  • Order wedding bands
  • Finalise your guest list
  • Write and send out invitations
  • Remember to include a Wedding Registry card in the invitation
  • Choose and purchase accessories for the wedding party
  • Meet with photographer to discuss arrangements and photo preferences
  • Contact those people that you would like to make a speech/reading
  • Sign up for dance lessons
2 months ahead
  • Have a trial hair and make-up session
  • Discuss the service with your celebrant
  • Choose reading for the ceremony
  • Write your wedding vows
  • Check rsvps from guests and keep a list of numbers attending. As soon as this number is finalised, give it to your caterer
  • Finalise menu with caterers, order wine and other beverages
  • Schedule a rehearsal time
  • Draft a reception seating plan
  • Apply to Registrar of Births, Deaths & Marriages for a marriage licence valid for 3 months from date of issue
  • Complete the appropriate paperwork if you are changing your name
  • Buy a guest book
2 weeks ahead
  • Have final dress fitting with shoes, accessories and lingerie
  • Finalise the reception seating plan and write place cards
  • Organise final fittings for groom, best man, groomsmen and bridesmaids
  • Visit your florist to finalise details for bouquets and church/reception flowers
  • Re-confirm delivery details with your service providers
  • Re-confirm appointment times for hair and make-up
  • Wear in your wedding shoes (both bride and groom)
  • Ensure those giving speeches are preparing them
  • Confirm with attendants, best man and mother-of-the bride or friends things that need doing after the wedding such as returning hired clothing, taking care of the bride's gown, removing and storing wedding gifts and decide who's doing what.
  • If you're having a hen or stag night, have it at least two weeks before the wedding
1 week ahead
  • Hold a full rehearsal of the ceremony
  • Drive through the journey to make sure transport arrangements and times are correct. Plan an alternative route in case of delays on the day
  • Arrange for all hired items to be collected and dress to be delivered
  • Pack for honeymoon
  • Confirm honeymoon arrangements and give a copy of your itinerary to a friend or family member
1 day ahead

  • Have a relaxing massage plus manicure and pedicure
Your wedding day
  • Relax and enjoy yourselves
